Executive Assistant [Job ID: A2019005]

Our client is looking for an Executive Assistant with the following job responsibilities:

  • Provide Executive assistance support by managing an active calendar of appointments for the Managing Director – Asia.

  • Arrange complex and detailed travel plans and itineraries; compile documents for travel-related meetings.

  • Arrange expense reports, review and liaise directly with finance department

  • Management of correspondence of a highly confidential nature

  • Support the team with coordination of programs, events, or conferences

  • Office Management of Hong Kong offices; Stationary, Branding, Vendors & Courier service

  • Devise and maintain office systems including data management and filing.

  • Plan, coordinate and ensure schedules are followed and respected.

  • Coordinate with internal Operations team globally to execute initiatives as needed.

  • Screen incoming calls

  • Research, prioritize, and follow up on incoming issues and concerns addressed to team members which are of a sensitive or confidential nature. Determine appropriate course of action, referral, or response

  • Report on sale follow up’s each week for each sales person

  • Prepare memorandums outlining and explaining administrative procedures and policies

  • Directs preparation of records such as agenda, notices, minutes, and resolutions for corporate meetings.

  • Requests and coordinates client due diligence documentation and follow-up as needed.

  • Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents.

  • Independently liaise with service providers as necessary

  • Provide coverage to the team where needed

  • Able/willing to take on additional duties as and when required.

Candidates should possess the following Requirements:

  • A third level qualification, preferably in a business discipline;

  • Two to three years’ related experience; or equivalent combination of education and experience;

  • Very proficient in written and spoken English - Mandarin is advantageous;

  • Strong MS Office skills;

  • including Word, Excel and PowerPoint;

  • Financial Services experience and database management experienced preferred;

  • Able to demonstrate strong attention to detail;

  • An ability to communicate effectively through all channels of communication.
